5 Position Summary The Administrative Coordinator will support the daily operations and future planning of the project’s team and the Director/Principal Investigator.
Due to the project’s interdisciplinary collaboration and organizational needs among multiple research labs and institutions, this position will be key to ensuring Director scheduling, research team communication and travel, including and appropriate task milestone.
Working closely with the Director, the investigator teams, ARPA-H staff, and other project personnel, this person will coordinate the Director’s calendar, routine research meetings, maintain online presence, as well as assisting with recruitment, hiring and management of personnel.
This person will work with School events teams managers to plan all-hands meetings and site visits, and with School marketing teams members to develop written materials for dissemination of research impacts, team news, and scheduled events.
This person will also support the Director by working with finance and technical personnel to prepare reports and presentations for submission to the funding agency, the administration, and the entire team.
Job Description Primary Duties and Responsibilities Assist the Director with scheduling, research team communications (including managing phone and email), coordinating research team travel, including arrangements and coordinating reimbursements, coordinating new hires from interview to onboarding.
Coordinate communications among all stakeholders, including Director, ARPA-H, senior personnel, other project personnel, technology innovation partners at the University, sponsor, governmental, and industrial partners.
Support finance and technical personnel to prepare presentations, take meeting minutes, and gather reports for submission to the funding agency, the school and department administration, and the entire team; Assist with grant documentation, including report coordination and development.
Collaborate with School events teams and administrative support within the department in the planning and execution of all-hands meetings, site visits, and large team meetings and events; coordinate with School marketing team members to develop written materials for dissemination of research impacts, team news, and scheduled events.
Maintain and keep up-to-date online presence, including project website and social media accounts.
Perform other duties as assigned.
Preferred Qualifications Bachelor’s degree and three years of administrative experience.
Excellent verbal written and interpersonal skills.
Proficient in computer skills, experience with Microsoft Office required.
Highly dependable and organized.
Great attention to detail.
Ability to handle multiple and diverse high-level tasks simultaneously.
Ability to work independently or as a part of a team.
Ability to communicate with different types of stakeholders, from students to scientists to government officials.
Demonstrate ability to handle confidential materials and maintain confidentiality.

Required Qualifications High school diploma or equivalent high school certification.
Three years of relevant experience.
Grade G08-H Salary Range $20.
76 - $32.
21 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University.
Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
