Human Resources Administrative Assistant
The Human Resources Administrative Assistant will provide administrative support to the Human Resources and Operations teams and will greet, assist, and provide direction and information to clients, visitors, and other guests of Elemental Enzymes.
Job Description Maintains Human Resources records by recording new hires, terminations, addressing any changes and updates, tracking specific required information, and performing periodic audits of HR files.
In cooperation with senior staff, assist in the planning and execution of events and meetings.
Responsibilities may include coordinating print and/or email invitations, coordinating with vendors, managing RSVP lists, creating name tags, event briefings, staffing, and invoice processing.
Addressing all administrative and receptionist HR responsibilities, through excellent communication, phone etiquette, organization, and customer service.
Performs office tasks including maintaining visitor records, stocking, and ordering supplies.
Work with Administrative Assistant and facilities staff to oversee the day-to-day operations of Elemental Enzymes’ facilities: book and schedule meeting rooms, as well as note and schedule building maintenance such as heat problems, water problems, general repairs in the department, cubicle problems, etc.
Be the point person to greet clients, visitors, and guests and determine the purpose of each person’s visit while directing and escorting them to the appropriate location.
Assist with office communications such as telephone calls, fax, and general inquiries.
Be in attendance for and provide contact point for building contractor and service provider visits.
Documents Human Resources actions by completing forms, reports, logs, and records.
Maintain organization, arrangement, and housekeeping of office.
Maintain a high level of confidentiality.
Performs other related duties as assigned.
Required Skills Superior organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Extreme proficiency with Microsoft Office Suite, especially PowerPoint and Excel with the ability to learn new or updated software.
Familiarity with HRIS cloud-bases sharing software.
Demonstrate initiative and ability to prioritize responsibilities and work well in a fast-paced environment.
Excellent people skills including verbal and written communications and the ability to exercise good judgement related to sensitive information and events.
Required Education and Experience High school diploma required, bachelor’s degree in human resources management or business administration or related field preferred.
At least two years of related experience required.
Notary Public is preferred.
Physical Requirements Prolonged periods sitting at a desk and working on a computer.
Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
Raising objects from a lower to a higher position or moving objects horizontally from position-to-position.
This factor is important if it occurs to a considerable degree and requires substantial use of upper extremities and back muscles.
Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.
Applying pressure to an object with the fingers and palm.
Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
Expressing or exchanging ideas by means of the spoken word.
Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
Perceiving the nature of sounds at normal speaking levels with or without correction.
Ability to receive detailed information through oral communication, and to make the discriminations in sound.
Repetitive motion.
Substantial movements (motions) of the wrists, hands, and/or Light work.
Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light.
