*Administrative Assistant*
The administrative assistant reports directly to the Controller and works in partnership with the rest of the office team to ensure Masterclock’s administrative needs are met.
From administering employee benefits to travel management to backing up sales support, this person is responsible for various tasks within our office environment.
The administrative assistant is an integral member of the Finance and Administration team and supports special projects as they come up and provides insight/oversight to management regarding discrepancies in reporting, management effectiveness and employee relations that could have an adverse affect on the business.
*Key responsibilities include*
*HR/Accounting Assistant*
•Administration of employee benefits to assist with open enrollment, coordination of benefits with third parties, and employee education
•Assist with maintenance and administration of employee handbook to ensure policies and procedures are up-to-date and map to changes in labor laws; Communication of changes in handbook to employees
•Support of employment/onboarding- facilitating background checks, internal and external job postings, and recruitment efforts
•Maintain training log by keeping department managers aware of upcoming training needs for their employees
•Assist with credit card balancing to include receipt collection and documentation
•Personnel file maintenance-to include eletronic organization
•Assist with fixed asset tracking and auditing
•Help with modernization and transformation to ensure Masterclock is ready for the future-be willing to bring up new ideas to continually suggest departmental and company improvements
*Travel Assistant*
• Researches and compares available travel and hotel accommodations to identify the best available option for each travel need
•When travel arrangements are within approved travel reasons and budget limits, makes all arrangements and reservations as requested.
•Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate staff
•Obtains approval from leadership for travel requests and expenses that exceed established limits.
•Advises travelers of and assists with any need for specialized travel documents such as visas or passports.
•Processes reimbursements for travel expenses
•Maintain annual tradeshow log
•Help set up a travel and credit card vendor in order to reduce expenses and gain organization by streamlining the process
*Sales & shipping assistant (back-up duties only)*
•Be the direct back up for the sales support specialist when necessary
•General office administration/reception responsibilities for answering phone calls, greeting visitors and maintaining visitor logs
•Creating invoices, verify sales orders, and communicating with customers regarding shipping cost estimations
•Shipping responsibilities by examining quality of packages, ensuring customer requests are met, determination of weights and measures, and coordinating with carriers for pickup/delivery of orders
*Skills, Experience and Attributes:*
•High schoool diploma or equivalent education required
•Have atleast 1 year experience in HR focused position
•Detail-oriented, strong communication and interpersonal skills
•Proficient in office admin systems (Microsoft Office suite)
•Preferrred 1 year experience in accounting/finance
