Job Duties:
* Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; and reviewing and approving supply requisitions.
* Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
* Completes operational requirements by up on work results.
* Keeps the administrative team informed by reviewing and analyzing special reports; summarizing information; and identifying needs.
* Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
* Contributes to team effort by accomplishing related results as needed.
* Schedule meetings and appointments for the administrative team as needed.
* Organize the office layout and equipment
* Maintain the office condition and arrange necessary repairs
* Organize office operations and procedures
* Provide and ensure general support to visitors to the school.
* Ensure coordination of in-school or off-campus activities, like parties, celebrations, and conferences
* Assist the administrative team as needed.
* Answer phone calls
* Many other office duties are assigned upon hire
Requirements:
* Proven experience as an administrative assistant
* Knowledge of office administrator responsibilities, systems, and procedures
* Proficiency in MS Office (MS Excel and Word, in particular) and Google applications
* Hands-on experience with office machines (e.
g.
fax machines and printers)
* Excellent time management skills and ability to multi-task and prioritize work
* Attention to detail and problem-solving skills
* Excellent written and verbal communication skills
* Strong organizational and planning skills in a fast-paced environment
* A creative mind with the ability to suggest improvements
* Team building and leadership skills
* High School degree; additional qualification as an administrative assistant or secretary will be a plus
