Job Description
The Executive Assistant is the point of contact for all clients, visitors, vendors, and associates at the Earth City facility.
This includes answering the main telephone line, handling incoming mail, planning & coordinating meetings, arranging meals and/or travel as well as employee communications and assistance.
This position works closely with the Earth City leadership team in providing administrative support in preparing presentations and providing clear communications to all associates regarding required upcoming trainings, power outages, and/or weather-related issues.
Manages and publishes a monthly newsletter highlighting associates (birthdays, promotions, etc.
) as well as key events (EPIC) and meetings.
Duties & Responsibilities Act as the point of contact for clients, visitors, external partners, managers, and associates.
Ensures that a visitor’s log is maintained and that all visitors are issued an ID badge that must be displayed at all times.
Manage information flow in a timely and accurate manner - keeping lines of communication open for any items that may arise (movement of meetings, etc.
) Manage monthly newsletter, calendar events and set up & schedule all conference rooms and meetings Prepare and publish meeting minutes during management meetings Make travel and accommodation arrangements Providing a detailed itinerary for all travel including flight, rental car/car service, lodging and dining reservations as needed Tracking flights and updating on changes as needed (may require after hours support for any travel changes) Entry of Timesheets Schedule and set-up up meeting logistics including but not limited to: calendar invites, conference room reservation, catering, AV/Video conferencing, conference room supplies, etc.
Sorting and distributing the mail Ordering and maintaining office supply inventory including toner & printing supplies Point of contact for office printers Additional duties and special projects may be assigned as needed Required experience/background: 5+ years of experience in an executive/leadership support role Associates/Bachelors Degree MS Outlook, Excel, Word, and PowerPoint expertise a must Excellent verbal and written communication skills Self-driven, effective time management, highly organized, critical thinker who is also calm under pressure and has the ability to multi-task Well organized and able to act without guidance Problem solver who can anticipate needs Trustworthy with proven accountability Positive attitude and teamwork focused Additional Information About Epsilon Epsilon is a global advertising and marketing technology company positioned at the center of Publicis Groupe.
